Working in a virtual team is becoming something that is more and more common throughout the world, mainly due to the fact that the internet has allowed people to communicate in a far more effective way, no matter where they are. This has created some problems though, especially when trying to exercise influence over those that are working for an employer. To ensure that they remain in control, the employer should exert influence in a few different ways – all of which will lead to a more cohesive and better performing team.

Encourage Team Spirit

People who work remotely often get down due to the fact that there seems to be no team atmosphere to motivate them while working. This is why it is important for everyone to know the other people that are working in the team, which will allow them to feel like they are part of a bigger picture.

Perhaps the best way to do this is by hosting regular meetings over Skype or something similar, where all of the staff members can speak with one another and voice their different opinions regarding certain subjects.

Obviously not everyone will be able to attend, as they might well live in a different country. In this case one can try to get the different employees in that area to meet up separately, therefore fostering more team spirit.

In a virtual office it is incredibly important to have a set of rules laid out, all of which tell the employees about what is expected of them in the company. In a regular office, a manager would be able to keep tabs on their workforce and therefore quickly correct mistakes, but in a virtual office the mistakes won’t come to light until work is submitted.

Enforcing the rules is important too, as this will send a clear message to all employees that the business – although online – is a serious one and that the rules are there to be adhered to. By being strong on rules, one can use them effectively when trying to influence staff.

Communicate Effectively

Communication in a virtual office is imperative, as there is no chance of face to face discussions occurring. This means that one should be perfectly confident talking on the phone and in getting their opinions and orders across in email form.

There is no room for people to misunderstand these instructions, mainly due to the fact that there is no way to effectively periodically check their work. This means it is often a good idea to get them to repeat back what they think one meant by the task given.

Use The Correct Technology

In this day and age there is absolutely no reason for anyone to not have the correct gear when it comes to online communication. Some essential devices will be Skype, a webcam and a microphone or headset. Obviously, the better quality these are then the more professional one will sound when using them.

All of these items can either be downloaded for free or bought cheaply from a local store. All members of the team should possess them, so as to make communicating as easy as is possible – which means one can influence staff far more directly.

Spread The Workload Fairly

When working in a business that often has a lot of boring tasks, people can become disheartened if they constantly receive them – therefore leading to mistakes and a drop in the quality of work. This is why it important to spread the tasks around fairly. To not do so will lead to people not respecting the manager and therefore to the manager’s influence dropping.
